When you approve a vendor in TradesField, a Xero contact is created with the ABN, bank details and address your team already verified. No retyping into Xero, no risk of paying a supplier whose details never made it into the books.

What happens when a submission is approved in TradesField, and how the Xero record stays clean.

On first approval
When a vendor is approved in TradesField, a matching Xero contact is created within seconds. Attached documents land on the contact a moment later, once the contact itself is created.
On an existing Xero contact
Before creating a new contact, TradesField checks Xero for a match by ABN, then email, then name. If one is found, the submission is linked to that existing Xero contact — no duplicate is created, and existing fields on the matched contact are left untouched.
Source of truth after approval
TradesField remains the live record for the vendor's verified bank details, compliance status and contacts. When your AP team is about to cut a payment, the authoritative answer lives in TradesField — check there first, and update Xero if anything has changed since the initial sync.

How to connect it.

Connecting Xero is self-serve through Xero's OAuth flow. No emails back and forth, no credentials to paste.

    Open the Integrations panel in TradesField

    In admin settings, find Xero and click Connect. You'll be redirected to Xero to sign in.

    Authorise the connection in Xero

    Sign into Xero, pick the organisation you want TradesField to write contacts into, and accept the requested permissions. TradesField only asks for access to contacts and attachments — not invoices, bank feeds, payroll or any financial transactions.

  3. 03
    Approve a vendor

    The first vendor you approve after connecting creates the first Xero contact. From then on, every approval creates or matches a Xero contact automatically.
