What happens when a submission is approved in TradesField, and how the Premier record stays clean.
- On first approval
- When a vendor is approved in TradesField for the first time, a new AP Vendor is created in Premier. Documents and compliance records follow a moment later as sequential background tasks, typically within seconds.
- On compliance changes
- When an insurance expiry date, licence reference or other compliance detail changes in TradesField, the matching compliance record in Premier is updated so your accounts team isn't working from stale dates.
- On an existing vendor
- Vendors are linked to Premier by Vendor Code. When a vendor has been synced before, their Vendor Code is pre-filled at approval and the submission is linked to that existing AP Vendor rather than creating a duplicate. If an AP Vendor already exists in Premier but was never pushed through TradesField, your reviewer can enter the existing Vendor Code at approval to link the records.
- Source of truth after approval
- For post-approval changes outside compliance (bank account, address, contact details), TradesField remains the live authoritative record. Your accounts team references TradesField before processing the next payment and updates the Premier record if anything has changed since the initial sync.

When the Premier integration is connected, approving a submission prompts your reviewer for five Premier-specific fields so the vendor is created with the right settings.
- Company
- The Premier company the AP Vendor should be created in.
- Vendor Code
- The unique identifier for the vendor in Premier. Pre-filled for vendors previously synced through TradesField. For AP Vendors that already exist in Premier but have never been pushed through TradesField, your reviewer types in the existing Vendor Code at approval to link to that record.
- Purchase Category
- The purchase category assigned to this vendor in Premier.
- Tax Group
- The tax group assigned to this vendor in Premier.
- Payment Term
- The payment terms that apply when transacting with this vendor.
How to connect it.
Premier setup is the most hands-on of our integrations because it uses a dedicated Premier user rather than OAuth. Most customers are up and running in ten to fifteen minutes. Our team can walk you through it, or you can self-serve from the admin integrations panel.
- 01Create a Premier user for TradesField
In Premier, create a user with the username tradesfield. Use an email you can receive login codes at. Assign a role that can view, create and edit vendors, and grant access to the companies you want synced.
- 02Verify the user can create vendors
Log in once as the new Premier user to complete any first-time verification steps Premier requires (for example, setting up multi-factor authentication). Then create a test AP Vendor to confirm the user can create vendors. If this user can't create a vendor in Premier, TradesField won't be able to either.
- 03Add the integration in TradesField
In the admin Integrations panel, choose Premier and paste the Client ID (available in your Premier account's API settings), Username and Password from the user you just created. Credentials are encrypted at rest and used only by TradesField's backend to authenticate with Premier. They are never exposed to your team, your browser, or any third party.
- 04Test the connection
Click Test Integration. TradesField authenticates against Premier with the credentials you supplied before any vendor data is sent.
- 05Connect and import metadata
Click Connect Integration. TradesField imports your organisation IDs, purchase categories and other Premier metadata needed for vendor creation, so your reviewer's approval fields show real values.
- 06Run a test submission
Send an onboarding invite to yourself, submit demo details, and approve the submission. The five Premier fields appear at approval, confirming the integration is live. Our team can run this test with you on the call.

The user consumes a Premier seat while a sync is running, then signs out. Whether this requires you to purchase an additional Premier licence depends on your current seat allocation — many customers use a spare seat already on their plan.
