Keeping vendors compliant is one job. Proving it is another.

Most builders have something in place to manage subbie compliance. A spreadsheet, a shared drive, a coordinator whose job includes vendor paperwork. It usually works well enough to keep projects moving. What it doesn’t do is produce evidence. When the auditor asks how you knew a particular vendor was current on the day you transacted with them, the answer has to come from memory, from email archaeology, or from a reconstruction that takes a week and costs billable hours to produce.

03 · When something changes

The first time a board member hears about a critical compliance event shouldn’t be at a board meeting.

Critical changes to any vendor’s compliance state, an ABN cancellation, a company entering administration, a licence being suspended, are emailed to the relevant people in your team the moment they are detected.
